Title: Facilities Administrator
ESFM is the corporate Integrated Facilities Management (IFM) division of Compass Group Canada operating in the business & industry sector. Along with providing IFM services to the Canadian Headquarters of several multi-national businesses, ESFM’s list of clients include household names in the Telecommunications, Entertainment, Pharmaceutical, Gas & Oil, Food Processing and Automotive markets.

Job Summary
Location: Pharma company in Ville St Laurent
Now, if you were to come on board as our Facilities Administrator, we’d ask you to do the following for us:
• Business Acumen: Manage administrative functions related to facilities operations. Monitor and report on budgetary/business needs and expenditure. Ensure cost-effective delivery of administrative support for technical facilities services like HVAC, plumbing, electrical, etc. Manage in-scope and out-of-scope trackers using provided templates and send to the finance liaison at the beginning of each month.
• Client and Contract Management: Assist in executing contract compliance and KPIs per the contracts. Assist with service vendor administration regarding follow-up requests, quotes, work schedules, and site orientations/work permits.
• Facilities Management: Coordinate maintenance activities with service vendors, including loading dock and overhead doors, floor scrubbers, uniform service, key card system/readers, security cameras, crane systems, snow removal, boilers, chillers, HVAC, etc. Consolidate repair quotes and present them to the client for approval. If approved, manage the minor project/repairs to completion, including communications to stakeholders. Assist in troubleshooting service-related issues. Assist in supervising and ensuring the delivery of high-quality hard and soft services. Provide administrative support for service quality and efficiency improvements. Order parts and supplies as needed.
• Contractor performance management: Maintain document repositories like service reports and filled checklists. Support the procurement of subcontractor services, schedules, and performance management for the contractors. Ensure adherence to contractual agreements and monitor service delivery effectiveness.
• Other Responsibilities as assigned by the management.

• Proven experience (more than 2 years) in administrative functions related to technical facilities services, contract governance, and compliance, preferably in food and pharmaceutical settings, with education in a related field.
