Job Summary

Under supervisory direction, the Purchasing Operations Coordinator provides support for Supply Management, Procurement and Client Solutions departments. The Purchasing Operations Coordinator maintains the integrity and accuracy of vendor contracts within SpenDifference data management system, data mapping (to include item mapping, store mapping, DC mapping, store updates, unapproved and uncontracted spend), vendor compliance and price audits.


Job Responsibilities:

  • Maintains item, location, customer and client attribute maintenance required for all food and non-food items along with certain supplier management documentation for vendor compliance
  • Prepares source data for computer entry by compiling and sorting information; establishing entry priorities
  • Processes customer and account source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete or inaccurate documents to the assigned category manager for resolution
  • Maintains data entry requirements by following data program techniques, contract attributes and procedures
  • Verifies entered contract account data by reviewing, correcting, deleting, or reentering data
  • Meets deadlines required for trading partner pricing which may be variable by distribution entity, client and agreement type
  • Maintains and files all product specifications (from the PIF’s) and nutrition information in data management system, including various product attributes like net and gross weight, pack size, cube, ti/hi, etc.
  • Organize and file pre-SpenDifference contracts, with product specifications, in data management system
  • Provide documentation management for Vendor Agreements, Non-Disclosure Agreements, Certificates of Insurance and GFSI Certificates
  • Assist distribution in product transitions with information from data system
  • May be called upon from time to time to provide organizational and administrative support to other teams
  • Communicates continuous improvement opportunities to increase efficiency, accuracy and customer satisfaction and update SOP’s as conditions change
  • Represents the company professionally in alignment with the Mission, Vision and Values
  • Must be fully engrained in the customer focused culture of the organization, nurturing relationships with all internal and external stakeholders


Job Requirements:

  • Experience with data management systems
  • Restaurant operations a plus
  • Advanced Microsoft Word and Excel skills
  • Understanding of food services and supply chain processes
  • Ability to work independently, while capable of working cooperatively and jointly with team members  
  • Bachelor’s degree or currently working toward a Bachelor’s Degree preferred.
  • Data entry experience preferred
