Job Summary

Key Responsibilities:

• Greet clients and visitors of the firm. Notify appropriate contact of visitor/client arrivals.

• Answer telephones in a friendly, professional manner and on the first ring.

• Monitor and answer the team email inbox and respond in quick & professional manner.

• Answer a variety of general inquiries and/or refers to the appropriate department of host for further assistance.

• Serve as an Conference Room Coordinator (CRC) of the firm’s conference room scheduling software, EMS. 

• Assist with conference room and visiting attorney office reservations via EMS. 

• Communicate last minute food and beverage, audio visual and room setup requests via EMS.

• Provide updated information to conference planners and meeting room operational staff.

• Monitor evening/weekend HVAC requests with the building management team. 

• Maintain the lobby and reception areas. 

• Handle car service requests.

• Provide information about local restaurants, transportation, museums, etc.

• Assist with light overflow administrative work including data entry, mailing and filing. 

• Assume additional responsibilities as requested. 

Preferred Qualifications:

• 1-2 years’ experience as a receptionist or concierge in a corporate environment

• Should possess excellent customer service skills and feel comfortable handling high-level clients.

• Should possess excellent oral and written communications skills.

• Should have proficient computer skills and be able to operate various office machines.

• Attention to detail and accuracy

• Ability to be punctual, dependable, and to follow through on the smallest of details.

• High school diploma required. Some college preferred, with a college degree a plus.
