Job Summary

1. Responsible for the strategic planning and vision of the Front Office and Guest Service departments.

2. Assist in preparing end of the month and statistical reports such as Occupancy Analysis Report, Conference History and Group Commission Reports.

3. Interviewing prospective applicants.  Require ability to communicate effectively using positive and clear English.  Fairly select the appropriate candidates to meet Flik Platinum Standards and expectations.

4. Conduct research and resolve guest allowances using reasonable judgment.

5. Train, coach and develop employees.  Communicate effectively both verbally and in writing of all Front Office policies, procedures and seasonal packages and promotions.

6. Communicate effectively both verbally and in writing to provide clear direction to staff.  Assign and instruct Guest Service Agents of work assignments.  Observes performance and encourages improvement.

7. Remain calm and alert, especially during emergency situations and/or heavy hotel activities, serving as a role model for Guest Service Agents.  Make decisions and take action based on previous experience and good judgment.  Authorize revenue allowances to remedy problems only after other alternatives have been offered.

8. Resolve customer complications and complaints by conducting thorough research of the situation and the most effective solutions.  Assist in writing guest complaint letters which require good writing skills.

9. Ensure efficiency and effectiveness of the Front Office with appropriate staffing level and proper assignment of breaks according to occupancy percentage, arrival and departure pattern.

10. Oversee Valet Parking & Bell Services

11. Ensure that all functions outlined by individual job descriptions and department manager are met and completed by every colleague

12. Coordination of the above departments to ensure a smooth day-to-day operation for our arriving and departing guests

13. Personally welcome and greet VIP and Repeat guests

14. Establish goals, measurements and results 

15. Effective recruitment, selection & development of leaders and colleagues

16. A coaching nature and empathetic approach to leadership, positively impacting colleague satisfaction, and the guest experience

17. In case of non-obedience of standards and procedures provide coaching and disciplining to avoid repetition of incident in the future

18. Verify and maintain proper documentation for all colleagues in your departments

19. Works closely with Reservations, Housekeeping and Maintenance to properly plan and coordinate room assignments and room maintenance scheduling

20. Ensure high morale through recognition and the removal of identified barriers

21. Ability to adapt to the challenges of a diverse, multi-cultural work force

22. Attend Pre-Conference Meetings and provide assistance for Front Office departments as needed

23. Hold departmental meetings and provide guidance to team and individual colleagues

24. Search for industry trends, and implement enhancements to product and service 

25. Track and address all guest comments and concerns

26. Ensure company PLATINUM SERVICE standards are implemented and audited for consistency 

27. Develop/update Job descriptions, standard operating procedures for all shifts and positions

28. Assist in the preparation of the department operational budget

29. Plan, cost and execute capital expenditures

30. Effective scheduling, vacation planning and department productivity results to budget

31. Effective everyday communications, including performance management
