Job Summary



1. Receive all incoming meeting requests and reserve appropriate space within assigned region based on available rooms. Reservations will be made with a focus on identifying the most suitable room based on the group’s requirements.

2. Provide details of reserved space to the assigned meeting planner within 24 hours of receipt of the request.

3. All reservations more than two weeks in advance of the event date will be processed by the Space Utilization Manager. Reservations for space within the upcoming two weeks may be processed by the Planning Manager.

4. Performs daily and weekly function space audits to identify conflicts and double bookings and ensure that the adequate space is protected for each group's pattern, without affecting the ability to book another group immediately before or after.

5. Review declined and wait-listed meetings and work to identify options to accommodate them as space use changes

6. Track and report declined and cancelled meetings

7. Manage space conflicts with Planning Managers and work to find resolutions that accommodate all groups’ needs and maximize utilization of the conference center space

8. Conduct a complete audit of all annual events and adjust space accordingly to maximize utilization

9. Review all requests to add space to existing reservations that exceeds the initial request

10. Think creatively about new and innovative ways to utilize space and accommodate group requests

11. Perform all duties in a professional manner and in accordance with company policies.  

12. Flexibility to work a varied schedule due to business levels and industry demand.  

13. Follow all safety procedures to ensure a safe working environment.  

14. Maintain uniform and grooming standards as outlined in employee handbook and departmental training.

15. Establishes and maintains a positive professional relationship through effective and timely communication with the Capital One associate and the staff of managed meeting space to distribute a group’s needs.  Vehicles:  daily reports, group texts, conference review, post-con meetings, written and verbal communication.

16. Knows property layout, policies, procedures and all capabilities.

17. Respects all employees and department policies.

18. Analyzes, anticipates and solves problems.

19. Flexible and honest enough not to over-promise or under-commit.

20. Has the authority to ensure that work is accomplished and associates’   needs are met.

21. As scheduled, attends: Conference Review, Planners Meeting, and Daily Stand-up/Pre-shift meeting.

22. To perform other duties as required including assisting any department as necessary due to business levels; which may require physical activity.
