Job Summary

The Conference Planner/Coordinator will ensure that meeting requests are properly processed within the scheduling tool.  The Conference Planner/Coordinator will collaborate with the Conference Planning Manager to ensure all meeting requirements are met before the meeting starts. They will need to work well individually and as part of a team. 
 
Job Duties
•Responsible for assisting clients with all elements available on the campus for the success of the client’s meetings, events, activations, etc.
•Manages booked reservations that have been assigned in a timely manner.
•Modifies reservations as needed and/or requested by clients. 
•Responsible for responding and processing all incoming requests from clients for assigned events
•Review existing meetings/events to ensure completeness and communication of details to appropriate departments
•Provides consultative event coordination services to customers as required.
•Educates customers on supporting onsite resources. Works with outside agencies providing requirements for onsite meetings.
•Develops and maintains working relationships with vendors (i.e. on-site security, porters, in-house caterers where applicable, etc.)
•Actively identify and share opportunities to increase utilization, raise Customer Service scores, lower cancellation rates and unfilled requests.
•May lead, manage, or provide subject matter expertise for projects and initiatives.
•Delivers consistent customer interactions across conference center locations through implementing uniform terminology, consistent email templates and standardized workflow processes.
•Identifies and reports onsite building repairs; completes work orders and submits in timely manner.

Job Skills
•Outstanding customer service skills
•Superior verbal and written communication skills
•Work experience with reservation software platforms
•Catering or other food service-related experience
•Communications, Event Planning or Hospitality background preferred.
•Highly proficiency with Microsoft Office product suite (i.e. Excel, Word, PowerPoint, Outlook)
•Experience working in technical/audiovisual environment.
•Ability to work independently, prioritize effectively and make decisions when faced with ambiguity.
•Ability to adapt quickly to change and maintain a flexible approach when providing customer support.
•Able to work a flexible schedule to include evening and weekend hours.
