Job Summary
The Catering Coordinator is responsible for both administrative coordination and on site event support for catering operations at Spelman College. This role manages catering orders from initial inquiry through event execution and provides operational support during events to ensure successful service delivery.
The position is split between office responsibilities and event support. Open availability is required, including evenings and weekends, due to the variable nature of catering events. While schedules may vary, associates receive two days off each week.
Essential Duties and Responsibilities
• Manage catering orders from inquiry through execution, including entering and maintaining event details for inquiries, tentative bookings, and confirmed events
• Prepare function sheets outlining event logistics, equipment needs, and rental orders
• Create captain packets for each event including staffing sheets, equipment pulls, beverage pulls, signage, and expo sheets
• Maintain organized event files including correspondence, proposals, invoices, payments, and function sheets
• Respond to catering inquiries and gather key event details including client contact information, date, time, guest count, format, and location
• Prepare event proposals and submit staffing requisitions
• Assist with client walkthroughs of venue spaces and represent catering services during events as scheduled
• Process deposits, review financial entries for accuracy, and coordinate with accounting as needed
• Prepare final event invoices and assist with monthly expense reporting
• Provide on site support during events including setup coordination and operational assistance
• Perform other duties as assigned
Qualifications
• 1 to 2 years of experience in catering, hospitality, or event coordination
• Experience with administrative tasks such as order entry, scheduling, and client communication, along with event support including setup and service
• Strong written and verbal communication skills for working with clients, vendors, and internal teams
• Strong organizational and time management skills with the ability to manage multiple events simultaneously
• High attention to detail when entering orders, coordinating logistics, and executing events
• Exceptional customer service skills and ability to address event needs quickly and professionally
• Professional demeanor and ability to remain composed in fast paced environments
• Ability to lift and carry catering supplies, assist with event setup, and stand for extended periods
• Team oriented with the ability to collaborate with culinary teams, service staff, and event managers
