Job Summary

The Reservation Coordinator is responsible for the strategic management of conference center space to support successful meetings and events. This role goes beyond booking coordination to ensure space is assigned, optimized, and continuously evaluated to maximize efficiency, support operational flow, and enhance the overall meeting experience.

This position requires strong judgment, pattern recognition, and the ability to balance client needs with broader organizational priorities. The role serves as a critical link between planning and execution, ensuring meetings are set up for success from the moment they are scheduled.

Key Responsibilities:

  • · Manage and assign meeting space with a focus on optimal utilization, not just availability

    · Evaluate requests based on meeting purpose, frequency, priority, and operational impact

    · Proactively reassign space to improve flow, reduce conflicts, and support high-priority meetings

    · Consolidate space usage during low-volume periods to increase efficiency across operations

    · Continuously review upcoming bookings to identify risks, gaps, and optimization opportunities

    · Ensure all reservation details are accurate, complete, and aligned with event requirements

    · Anticipate downstream impacts on AV, catering, and operational teams

    · Serve as a key point of contact for reservation-related communication

Preferred Qualifications:

  • · 2+ years in hospitality, event operations, or client-facing roles

    · Experience with reservation/event management systems preferred
