Job Summary



Summary:  The NPO/Staffing Coordinator supports the NPO/Staffing Manager by scheduling team members based on event-specific needs. This role is responsible for building and maintaining staff schedules, assisting with event day check-in and check-out, and processing pay adjustments related to timekeeping errors. The coordinator also performs various administrative tasks such as data entry, maintaining staffing records, and supporting communication between departments and non-profit groups. Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment are essential for success in this role.

Essential Duties and Responsibilities:

  • Ensures proper staffing levels and that concessions locations are set and ready for business prior to doors on events days and adjusting to the business during events as needed.
  • Regularly engage with non-profit volunteer groups, providing a high level of customer service and support.
  • Assists with team member check-in and check-out before and after an event.
  • Supports team on event planning, execution, and day-of logistics.
  • Organize group needs – touch base regarding upcoming events and registration activity.
  • Oversee the setup, collection, and auditing of all event-related paperwork.
  • Participates in general administrative duties: meetings, cleaning, filing and other similar tasks.
  • Promotes a cooperative work climate, maximizing productivity and morale.
  • Conducts regular scheduled meetings to ensure lines of communication are open between management and team members.
  • Exhibits a positive attitude and supports a team-oriented culture.
  • Effectively manages time and consistently meets deadlines.
  • Utilizes performance management tools to provide guidance and feedback to team.
  • Stand and must be physically engaged for long periods during events.
  • React with physical and mental alertness in emergency situations.
  • Comfortable delivering frequent and direct feedback to staff and volunteers.
  • Excellent verbal, written, and active listening communication skills
