Job Summary:
We are seeking a highly organized and proactive Fleet & Facilities Specialist to support the safe, efficient, and compliant operation of our fleet and facilities. This role oversees fleet maintenance, safety initiatives, building operations, vendor relationships, and compliance activities that support business objectives.
The ideal candidate is a hands-on problem solver with strong organizational and project management skills, a safety-first mindset, and the ability to build effective relationships across operations, vendors, and leadership teams.
Key Responsibilities:
Fleet Management & Safety
- Manage preventative maintenance schedules and ensure timely vehicle servicing.
- Review and approve vehicle repair estimates and work orders.
- Monitor fleet performance and identify opportunities to improve safety, reliability, utilization, and cost efficiency.
- Ensure operational teams utilize approved vendors and service providers.
- Manage fleet technology programs, including GPS, telematics, and Mobileye systems.
- Conduct fleet inspections and recommend repairs, replacements, and operational improvements.
- Maintain accurate fleet records, reporting, and documentation.
- Partner with operations teams to support fleet-related business needs.
Facilities Management & Compliance
- Coordinate facility maintenance programs to ensure safe and efficient operations.
- Conduct routine facility inspections and address safety, security, and maintenance concerns.
- Support compliance with company policies, OSHA standards, and applicable regulations.
- Lead the Safety Committee and promote a culture of workplace safety.
- Manage vendor and contractor relationships to ensure quality, timely, and cost-effective service.
Qualifications Required:
- Experience in fleet management, facilities management, property management, or a related operational role.
- Strong project management, analytical, problem-solving, and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal, written, and interpersonal communication skills.
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Ability to work a flexible schedule, including occasional evenings or weekends.
- Adaptability and a commitment to continuous improvement.
Preferred:
- Knowledge of DOT regulations, transportation safety standards, and fleet compliance requirements.
- Knowledge of OSHA regulations and workplace safety practices.
- Experience with telematics, GPS, or fleet management systems.
- Experience leading safety programs, committees, or compliance initiatives
