NPO Coordinator

Position Summary:
The Non-Profit Organization (NPO) Coordinator reports to Human Resources and supports the administration and execution of the NPO program at Indiana University Athletics. The Coordinator serves as a primary contact for NPO Group Leads and is responsible for group communication, onboarding, training, compliance, staffing coordination, event-day support, documentation, and settlement processing. The position also supports HR administrative functions and may assist Concessions and other operational areas based on business needs and available hours.

Essential Duties and Responsibilities:

  • Serves as a primary contact for NPO Group Leads and communicates schedules, staffing requirements, assignments, training, and operational expectations.
  • Coordinates onboarding and annual renewal requirements for new and returning NPO groups.
  • Maintains NPO agreements, insurance documentation, training records, certifications, Group Lead information, and other required records.
  • Coordinates NPO staffing commitments and works with Group Leads and operational leadership to address shortages or changes.
  • Coordinates NPO orientation and training related to Levy policies, safety, guest service, food safety, alcohol awareness, and operational procedures.
  • Tracks required training, licenses, certifications, credentials, and other compliance documentation.
  • Monitors NPO groups for compliance with program requirements, agreements, policies, and procedures.
  • Documents attendance, staffing, operational, and compliance concerns and escalates significant concerns as appropriate.
  • Partners with Concessions leadership on stand assignments, staffing needs, event readiness, and execution.
  • Processes NPO event paperwork and settlement documentation for donation payment.
  • Maintains accurate participation, staffing, compliance, and payment records.
  • Supports HR with onboarding, training, document collection, record maintenance, team member communications, staffing, engagement activities, and other administrative duties.
  • Maintains confidentiality when handling employee and HR-related documentation.
  • Provides operational support to Concessions and other food and beverage areas as assigned based on business needs and available hours.
  • Performs other duties as assigned.

Event-Day Responsibilities:

  • Oversees NPO check-in and check-out, including paperwork, uniforms, signage, supplies, set-up, and breakdown.
  • Verifies NPO staffing and applicable training, certification, credential, uniform, and program requirements.
  • Communicates staffing shortages and attendance concerns to HR and operational leadership.
  • Provides Group Leads with assignments, event information, and operational updates.
  • Monitors NPO-operated locations for guest service, uniform, food safety, alcohol service, operational, and program expectations.
  • Provides guidance to Group Leads and documents or escalates operational and compliance concerns when necessary.
  • Supports team member and NPO check-in, training, attendance tracking, communications, documentation, and engagement activities.
  • Provides hands-on Concessions support as needed, including event preparation, stand operations, service areas, and staffing coverage.
