Job Summary
The Conference Coordinator is responsible for the booking and coordination of all group-related functions, responsible for the maintenance and upkeep of the reservation scheduling system and acts as the primary liaison between the Pfizer client and the Pfizer Conference Solutions Department and conference rooms throughout the Pfizer St Louis/Chesterfield campus.
Key Responsibilities:
- Address client requests for availability of conference rooms via phone, in person, or e-mail.
- Schedule meetings & events accordingly using the existing scheduling system for that particular space while being responsible in regards to room management and utilization guidelines.
- Assist with catering administrative tasks and set- ups as needed.
- Assess and offer creative suggestions and recommendations for setups and programs; and act as a resource for information about meals, video conferencing and BT/IT related questions.
- Utilize effective and timely communication in order to acquire all needed meeting information from clients including number of attendees, room set up, A/V requirements, meeting title, work orders as well as any special requests. Vehicles used: phone, interpersonal communication, written and e-mail.
- Utilize effective and timely communication with conference center team regarding room set-up and group needs.
- Confirm all booked meetings and arrangements with the meeting contact per pre-determined timeframes, communicating any changes to the conference center team.
Preferred Qualifications:
- Three years hotel, convention/conference, or meeting planning experience preferred. Management/supervisory experience is helpful. Hospitality Experience required.
- Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress
