Salary: $100,000 - $130,000

Pay Grade: 15

Job Summary

Reports to: Unit Director

Location: Kendall Square – 290 Binney St


The Workplace Services Manager will oversee the design and development activities for a new building and a new business. This role involves creating standard operating procedures (SOPs), project management (PM) scheduling, job descriptions, hiring, programming, and training. The manager will be responsible for design development and eventually the management of all janitorial services, event management, audio/video services, and concierge staff.

Key Responsibilities:
 

Standard Operating Procedures (SOPs):
    - Develop, implement, and maintain SOPs for all workplace services.
    - Ensure SOPs are compliant with industry standards and regulatory requirements.
    - Regularly review and update SOPs as needed.
 

Project Work Center Support:
    - Create Compass and support Client project deliverables for all design and development activities.
    - Coordinate with internal and external teams to ensure timely completion of projects tasks and materials
    - Communicate progress and adjust scope and scale of materials and information as necessary to align with Client deliverables.

Job Descriptions and Hiring:
    - Develop comprehensive job descriptions for all positions within the workplace services team.
    - Lead the recruitment and hiring process for new team members.

  Programming and Training:
    - Design and implement training programs for new hires and existing staff.
    - Ensure all staff are trained on SOPs, safety protocols, and company policies.
    - Evaluate the effectiveness of training programs and make improvements as needed.

Janitorial Services:
    - Oversee the day-to-day operations of janitorial services.
    - Ensure the building is clean, safe, and well-maintained at all times.
    - Manage relationships with external janitorial service providers.

Event Management:
    - Plan and coordinate events within the building, including meetings, conferences, and social gatherings.
    - Ensure all events are executed smoothly and meet the expectations of stakeholders.
    - Manage event budgets and resources effectively.

Audio/Video Services:
    - Oversee all contractors and other staff in responsible for maintenance, and operation of audio/video equipment.
    - Ensure all audio/video services are functional and meet the needs of the business.
    - Provide support for audio/video issues as needed from a services management position.

Concierge Staff:
    - Manage the concierge team  and programming to ensure high-quality service for all building occupants.
    - Develop and implement concierge service policies and procedures.
    - Address any issues or concerns related to concierge services promptly and effectively.

 

Qualifications:

  • Bachelor's degree in Business Administration, Facility Management, or a related field.
  • Proven experience in workplace services management, project management, or a similar role.
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office and project management software.
