Job Summary

 

The Assistant Director of Administration and Safety is responsible for developing and managing key administrative and compliance operations across the Environmental Services (EVS) division. This role leads auditing programs, supports safety initiatives, and drives special projects focused on innovation and operational excellence. The Assistant Director ensures that all programs align with healthcare regulations, infection prevention requirements, and internal performance standards. 

 

Key Responsibilities:

  • Conduct regular audits and inspections to monitor regulatory compliance, operational standards, and documentation accuracy.
  • Partner with Infection Prevention, Safety, and Quality teams to ensure readiness for surveys and inspections.
  • Maintain audit tools and dashboards to track completion rates and identify trends requiring corrective actions.
  • Coordinate mock audits and support action planning across the EVS department.
  • Manage cross-functional projects that support hospital or system-level EVS initiatives including technology pilots.
  • Define project goals, timelines, milestones, and resource needs; coordinate implementation and communication across all levels.
  • Evaluate outcomes and recommend scaling or adaptation based on performance and operational impact.
  • Serve as the lead administrator for innovation projects and assist with SOP updates or new workflows.
  • Oversee organization and optimization of shared administrative processes (e.g., schedules, training logs, compliance trackers).
  • Maintain system tools and documents to support efficient onboarding, audits, and reporting.
  • Coordinate departmental communications, digital board updates, performance reports, and leadership dashboards.
  • Provide administrative support and backup coverage for leadership in high-demand periods or absences.
  • Partner with safety committees and facilities teams to identify and address safety concerns.
  • Track safety incident trends, lead root cause analyses, and recommend preventive measures.
  • Maintain documentation and policies related to incident reports, inspections, and follow-up actions.
  • Ensure hazardous waste handling, equipment relocation, and vendor services align with safety and sanitation protocols.
  • Collaborate with EVS directors and hospital leadership to align department goals with operational and strategic priorities.
  • Serve as a departmental representative on relevant committees or performance improvement teams.
  • Contribute to annual planning, budgeting, and staff engagement strategies.

 

Education & Experience:

  • Bachelor’s degree in Healthcare Administration, Business, Education, or related field required.
  • 2–5 years of experience in healthcare, EVS, training, or operational leadership roles.
  • Strong knowledge of regulatory standards in healthcare.
  • Background in training development, adult learning principles, or quality improvement initiatives.
  • Excellent organizational, project management and time management skills.
  • Strong verbal and written communication across all levels of the organization.
  • Ability to analyze data, interpret audit trends, and develop action plans.
  • Proficient in Microsoft Office Suite, learning management systems, and data tracking tools.
  • Demonstrated leadership, flexibility, and initiative in fast-paced environments.
