Job Summary

Manages facility and facilities support operations regulatory compliance for a 1.4 million-square-foot healthcare facility and 30,000 SF of offsite locations. 
Responsibilities: 
•    Standardize and refine project management practices across Support Services, incorporating best-fit methodologies (e.g., PMP, Agile, Lean, Six Sigma) tailored to project scope, team dynamics, and business need.  
•    Manage small department construction and renovation projects
•    Implement system plan to ensure the account complies with all applicable regulatory requirements
•    Ensures all system-wide facilities staff understand and implement FM Program requirements
•    Ensure consistent and accurate Team Docs, Team Fin & Team Ops documentation of FM work activities.  In addition, ensure that these systems are maximized
•    Perform regular work order audits for quality and provide feedback to the FM leadership team
•    Monitor daily work order completion and report opportunities to increase productivity
•    Proactively monitors and reports critical metrics before becoming non-compliant issues
•    Routinely validates via audit data integrity and important metric measurements
•    Develops, monitors, and reports performance improvement action plans as warranted 
•    Regularly collects, reviews, and analyzes data in reference to EOC reports on a monthly/quarterly/annual basis 
•    Checks work-order documentation on a weekly/monthly basis via reporting
•    Provides system-wide regulatory support as requested
•    Performs pre-Joint Commission/Deemed Status inspections of facilities before the actual regulatory survey
•    Manges GEM and Safety Programs 
•    Ensures appropriate documentation is in place per Facilities Management Plan standards
•    Manages the data for the Annual EOC Evaluations
•    Manages and serves as the administrator for the system wide electronic temperature monitoring program for the hospital owned medical refrigeration equipment
•    Performs regular compliance quality audits at each facility
•    Assist with compliance for the Environment of Care, not limited to Fire Life Safety, Safety, Hazardous Waste, Emergency Management, and Utilities Management.
•    Assist with ILSM assessments and lead the development of ICRA’s

Documentation Management: 
•    Maintain, maximize and update operational documentation using the Team Doc and Team Ops platform. 
•    Organize and maintain facility drawings and archived documents
•    Manage inventory and asset tracking using the Sortly application, act as administrator, enter invoices and purchase requisitions in Work Day
•    Ensure data accuracy and support inventory audits. 
•    Track operating and capital projects and budgets. 
•    Assist in the energy management and sustainability program to include managing the Energy Print program
Qualifications:  
•    Strong verbal, written, and interpersonal communication skills; ability to engage with stakeholders at all organizational levels 
•    Must possess working knowledge of Facilities Management Operational Policy and Procedures
•    Must possess at least 2 years of healthcare experience
•    Must maintain current knowledge of the contents and navigation of the FM Web Portal
•    Must have the experience and ability to work with senior-level leadership while exhibiting a high level of confidence
•    Business skills to deal effectively with all personnel at all levels, patients, and clients at all levels including the Senior Level
•    Proficient in Microsoft Office Suite, particularly Excel (advanced formulas, modeling, Power Query)  
•    Experience working with Microsoft Access databases for business applications · 
•    CHFM/CHSP/CHC or equivalent strongly desired 
•    Bachelor’s degree highly preferred
