Salary:  $47,840 - 52,000 / year

Job Summary

Work as a Catering Coordinator in a world-class museum environment offering free parking, a complimentary shift meal, and strong work life balance. The museum is closed most Mondays, with limited exceptions for national holidays or large events. In this full-time role, you will oversee the planning and execution of catered events, serving as the primary liaison between clients, vendors, catering teams, and museum staff to deliver exceptional events while upholding museum policies, conservation standards, and guest experience expectations. 

 

Responsibilities

• Plan, coordinate, and execute event logistics including timelines, event orders, floor plans, and tastings
• Serve as the primary liaison between clients, museum staff, catering teams, and external vendors
• Ensure compliance with museum rules, security requirements, and conservation guidelines
• Coordinate vendor arrivals, rental deliveries, and pickups including florists, musicians or DJs, photographers, and equipment providers
• Communicate and enforce clear boundaries regarding permitted and restricted event activities
• Oversee on-site event execution including setup, service, and breakdown
• Supervise event staff and vendors during events
• Troubleshoot and resolve issues professionally and efficiently in real time
• Maintain accurate records including contracts, invoices, and event documentation
• Support sales efforts and upsell enhancements when appropriate
• Partner closely with the Director of Events and Catering Director to ensure proper on-site support
• Perform other related duties as assigned

 

Qualifications

• Minimum of three years of experience in event coordination, catering, hospitality, or venue management
• Strong organizational, time management, and multitasking skills with the ability to manage multiple events simultaneously
• Excellent written and verbal communication skills
• Professional, customer-focused demeanor with a passion for people and events
• Availability to work evenings, weekends, and holidays as required
• Preferred experience in museums, galleries, or historic venues
• Knowledge of food and beverage service and event operations
• Familiarity with event management and CRM software
• Ability to read and create basic floor plans

 

Physical and Work Environment Requirements

  • Ability to stand and walk for extended periods during events and lift up to 25 pounds as needed.
  • Work is performed on-site in an art museum environment with varying noise and activity levels.
