Job Summary
Position Overview:
The Event Designer & Producer is responsible for translating client and sales concepts into thoughtful, executable event designs and overseeing the production of décor events from concept through completion. This role works closely with the Sales, Creative, Floral, Culinary, and Operations teams to develop mood boards, custom station concepts, floral direction, rental selections, and overall event styling. Once a design is approved, the Event Designer & Producer is responsible for coordinating the details required to successfully produce the event, ensuring the creative vision is operationally sound and executed to company standards. The ideal candidate is equally comfortable developing a design concept, sourcing the right rental pieces, coordinating with florists and vendors, building production plans, and being onsite to make sure everything comes together.
Key Responsibilities
Event Design & Creative Development
• Develop creative concepts based on client goals, event scope, venue, budget, and overall aesthetic.
• Create mood boards, design decks, and visual presentations that clearly communicate event concepts.
• Develop custom station and buffet concepts
• Select furniture, rentals, tabletop pieces, décor, and styling elements, for each event.
• Coordinate with florists to establish floral direction.
• Develop cohesive styling plans for bars, food stations, buffets, lounges, guest tables, and other event spaces.
• Source décor, materials, and specialty rentals, when existing inventory does not meet the needs of the design.
• Ensure proposed designs are realistic within the client's budget, venue requirements, available inventory, staffing needs, and production capabilities.
• Maintain awareness of current event, hospitality, floral, rental, and design trends while ensuring concepts remain appropriate for the client and event.
• Develop custom food station and buffet concepts that complement the menu and overall event aesthetic.
Event Production and Onsite Event Execution:
• Serve as the primary production lead for assigned décor events once the event moves from design into execution.
• Create and maintain production plans, including rental requirements, staffing needs, installation details, vendor coordination, timelines, and onsite logistics.
• Coordinate with warehouse and operations teams regarding inventory pulls, packing, loading, transportation, installation, and return.
• Manage changes to event scope and communicate impacts to the appropriate internal teams.
• Lead or support onsite décor installations for assigned events.
• Direct event staff and installation teams to ensure efficient setup and adherence to the approved design.
Internal Collaboration:
• Work closely with Sales, Floral and Culinary departments to ensure creative ideas presented to clients are achievable, appropriately priced, and operationally realistic.
• Communicate changes, challenges, and production needs proactively across departments.
• Participate in creative meetings, event reviews, site visits, mockups, and production meetings as needed.
Qualifications
Qualifications:
• 3+ years of experience in event design, event production, experiential events, hospitality, décor, rentals, or a related field, with at least 5 years of cumulative experience.
• Strong understanding of both the creative and logistical components of event production.
• Experience creating mood boards, event design presentations, or similar visual concepts.
• Strong visual design skills with an understanding of color, scale, texture, space planning, and event styling.
• Experience working with rental furniture, floral design, tabletop, décor, or event installations strongly preferred.
• Strong management and organizational skills.
• Excellent written and verbal communication skills.
• Experience with Canva and event management or rental software preferred.
Physical & Scheduling Requirements:
• Ability to work a flexible schedule based on event needs, including occasional early mornings, evenings, weekends, and holidays.
• Ability to travel locally to venues, site visits, installations, and events.
• Comfortable working in warehouse, venue, and active event environments.
• Ability to stand and work onsite for extended periods.
• Ability to lift and move décor and event materials as required.
