Job Summary

Position Overview

We are currently seeking qualified candidates for an immediate opening to join our team as a proposal specialist. Waveguide’s proposal specialist is an integral member of the growth team. Working closely with the vice president of growth as well as members of Waveguide’s growth and leadership teams, the proposal specialist is responsible for the end-to-end proposal development process – ensuring the high-quality production of compliant, compelling, and timely proposals and qualifications. Because this position is remote with some light business travel as needed, we are looking for candidates who are excellent at time management and possess a unique ability – with proper support from Waveguide – to cultivate relationships, build cross-functional connections and acquire skills in a remote work environment.

 

Responsibilities

˜ Develop and assemble new business proposals, qualifications submittals and other material requested by clients regarding new business opportunities.

˜ Maintain full ownership of proposal timelines, deadlines, and requirements.

˜ Organize proposal teams, collaborating with technical and business development leaders and peers to determine approach for new business proposals. Assign and perform tasks within that approach.

˜ Working with project principals and consultants, develop/contribute to statements of work (SOWs) for enterprise clients and additional service requests (ASRs) for existing projects.

˜ Write and edit compelling content that directly responds to RFP/RFQ requirements (e.g., resumes, project descriptions, boilerplate responses).

˜ Using CRM and other established processes, track and coordinate ongoing new business opportunities and proposal activity.

˜ Provide ongoing follow-up on submitted qualifications and proposals.

˜ Maintain proposal templates in Microsoft Word and PowerPoint and work with growth team peers to identify and prioritize new proposal and qualification documents as needed.

˜ Provide other duties as may be requested to support new business pursuits.

Core Competencies

· Bachelor’s degree or equivalent professional experience in business administration, marketing, communications, or related field.

· 5+ years of experience in the A/E/C industry. Knowledge of AV industry a plus. Prior professional services marketing and proposal development preferred.

· Ability to perform work accurately and completely, and in a timely manner.

· Excellent organizational, time management, critical thinking and problem-solving abilities.

· Excellent verbal and written communication skills. Superior skills in writing, storytelling, and copy-editing. Working knowledge of AP Style or equivalent business writing guides.

· Excellent interpersonal skills, including self-awareness, with the ability to build strong relationships with clients, partners, vendors, executive leaders, and peers.

· Efficiently manages time, workflow, and project schedules to meet deadlines with consistent quality. Project management experience is a plus.

· Superior skills in Microsoft Office applications (i.e., Word, PowerPoint, Excel, Teams, Power BI). Highly proficient in Adobe InDesign and working knowledge of other Creative Suite applications (Photoshop, Illustrator, Premier). Knowledge of Microsoft Dynamics is a plus.

· Ability to learn and use a variety of software, tools, and systems to meet business needs.

· Ability to adapt to change and stretch into flex assignments during down time.

· Open to some business travel for new business or team building.
