Job Summary

The Staffing Manager is responsible for coordinating all staffing and Non-Profit Volunteer needs that support the organization’s events and all aspects of hourly recruitment, onboarding, and workforce planning to ensure the organization maintains an effective and consistent talent pipeline. Reporting to the Director of HR, this role partners closely with department leaders to understand staffing needs, improve hiring processes, and support overall employee engagement and retention efforts.

 

Key Responsibilities:

  • Lead recruitment for hourly full‑time, part‑time, and event‑based nonprofit roles.
  • Develop and maintain a strong volunteer pipeline for events, community programs, and operational needs.
  • Coordinate volunteer scheduling, communication, training, and recognition activities.
  • Responsible for leading and managing the full event day check‑in process for NPOs.
  • Build partnerships with local schools, community groups, and workforce organizations to support volunteer and staffing efforts.
  • Ensure staffing and volunteer processes align with nonprofit regulations, safety guidelines, and organizational policies.
  • Oversee onboarding and orientation for staff and volunteers.
  • Ensure compliance with all NPO staffing including contracts, training and certifications.
  • Manage full‑cycle recruitment for hourly and non‑exempt roles, including sourcing, screening, interviewing, and onboarding.
  • Oversee staffing systems to ensure accurate requisition management and candidate flow.
  • Partner with hiring managers to understand workforce needs and provide staffing strategy recommendations.
  • Monitor job postings, candidate pipelines, and hiring timelines to ensure timely fulfillment of staffing needs.
  • Support employee engagement and recognition initiatives to improve retention and morale.
  • Assist in follow‑up on engagement survey results related to staffing or scheduling.
  • Ensure hiring, onboarding, and staffing practices comply with applicable federal and state regulations.
  • Maintain consistency and fairness in staffing practices across departments.
  • Identify opportunities to streamline staffing processes and improve candidate/associate experience.
  • Perform other duties as assigned.

 

Qualifications:

  • Bachelor’s degree in HR, Business, communications or related field preferred.
  • 3+ years of experience in recruiting, staffing management, or HR support.
  • Experience in a multi‑unit or high‑volume staffing environment preferred.
  • Experience managing volunteers or leading community programs strongly preferred.
  • Strong communication, relationship-building, collaboration, and problem‑solving skills.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; applicant tracking system experience preferred.
  • Strong presentation and organizational skills.
  • Strong organizational and planning skills with the ability to manage multiple programs or events.
  • Ability to work evenings and weekends based on event schedules.
