The Non-Profit Organization (NPO) Coordinator will be responsible for recruiting, onboarding, and scheduling NPO groups for the Concessions Department at Michigan State University. The NPO Coordinator is also a guest-facing professional who has strong communication skills, work ethic, and can-do attitude.
This core role will effectively serve as a liaison to the organization and communicate between the NPO Manager, Concessions and Human Resources departments to ensure a streamlined operation, and will assist with essential administrative responsibilities including but not limited to:
Essential Duties and Responsibilities:
• Assist the Concessions and HR Manager(s) with prospect research and recruitment of new NPO groups
• Assist with the on-boarding and compliance of new and existing NPO groups
• Assist with trainings, including updating the NPO Standard Operation Procedure (SoP) handbook
• Ensure event schedules are communicated in advance and confirmed via email and phone
• Assist with event day NPO check in, including set-up and break down of employee check-in area
• Uphold the uniform policy by managing the distribution and inventory of uniforms
• Ensure NPO volunteer members understand and adhere to the health and safety policies
• Distribute and communicate event-day details, including changes in policies or events
• Assist in facilitating engagement opportunities such as raffles, teammates giveaways etc
• Assist the Concessions Managers with event-related duties such as but not limited to, assisting guests, assisting concession staff, and troubleshot POS systems
• Manage all on-site related administrative finance duties, including preparing the reconciliation of invoices, assisting with invoice requests, and filing record of invoices. This will require close coordination and approval from Director/GM of Concessions and Director of Operations
• Manage assign work, track project progress, and complete administrative duties like writing reports, typing, and answering phones
• Assist with ordering supplies when necessary
• Occasionally support other Levy accounts
Qualifications:
• 2+ years of related filed experience preferred, (Working or Educational)
• Understanding of basic Non-Profit Group, whether recruiting or volunteering is a plus
• Excellent attention to detail, listening, oral, and written communication skills
• Friendly and enthusiastic personality
• Resourceful and motivated to learn
• Able to analyze issues and follow escalation plan
• Able to work independently without close supervision
• Understands company processes, follows procedures, and familiarity with basic office technology
• Able to multi-task and plan-ahead in a high-volume environment
• Experience with MyStaff, Microsoft Software, and SmartSheets is highly desirable
