Job Summary
The Work Order Champion serves as the primary point of contact for initiating, tracking, and closing work orders within the operation. This role ensures all service, maintenance, and repair requests are documented accurately, prioritized appropriately, and completed on time. The Champion maintains close communication with internal teams, clients/focals, and leadership to minimize downtime, protect asset life, and support operational excellence.
Key Responsibilities
- Work Order Intake & Creation
- Receive, review, and accurately log all maintenance, repair, and service requests into the work order system.
- Ensure work orders contain complete and clear details (location, issue, urgency, photos if applicable).
- Assign initial priority based on operational impact, safety, and urgency.
- Coordination & Communication
- Liaise between café managers/leadership and clients/focals.
- Schedule work to minimize operational disruption, coordinating with site leadership as needed.
- Communicate expected timelines and any updates or delays to stakeholders.
- Tracking & Follow-Up
- Monitor open work orders daily to ensure timely progress.
- Escalate delays or obstacles to leadership promptly.
- Confirm completion of work, verifying quality and compliance with standards.
- Reporting & Documentation
- Maintain accurate records of work orders, vendor invoices, and asset history.
- Generate and distribute weekly or monthly status reports on open/closed work orders, response times, and trends.
- Identify recurring issues for potential preventive maintenance solutions.
- Continuous Improvement
- Recommend process improvements to streamline work order handling.
- Support preventive maintenance program by identifying high-frequency repairs or equipment nearing end of life.
- Participate in vendor performance reviews and provide feedback.
Qualifications
Experience: 2+ years in facilities coordination, maintenance administration, or operations support preferred.
- Skills:
- Strong organizational and time management skills
- Clear written and verbal communication
- Proficiency in work order management software (e.g., FMX, Corrigo, ServiceNow) and Microsoft Office Suite
- Ability to prioritize and handle multiple requests in a fast-paced environment
Knowledge: Basic understanding of maintenance categories (electrical, plumbing, equipment repair, etc.) a plus.
