Job Summary
The Event Planner is responsible for coordinating and executing a variety of events, ensuring all aspects are meticulously planned and delivered. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The Event Planner works closely with internal teams and external vendors to deliver high-quality experiences aligned with organizational goals.
Key Responsibilities:
- Plan and execute events from conception through to completion.
- Coordinate logistics including venue selection, catering, transportation, and audiovisual requirements.
- Manage event budgets and ensure cost-effective solutions.
- Liaise with vendors, sponsors, and stakeholders to ensure seamless event delivery.
- Develop event timelines and ensure adherence to schedules.
- Oversee event setup, execution, and breakdown.
- Evaluate event success and prepare post-event reports.
- Work with Graphics, Creative Services, and Campus Communications Manager to ensure events are promoted effectively.
- Capture and report on metrics to ensure event goals are met.
- Work with Event Coordinator to ensure Campus Calendar is accurate, current, and correct metrics are captured.
- Work with Senior Concierge and Building Captain to help manage Special Purpose Room reservations and learn the responsibilities of each role to support roles when required.
- Support Event Planner with ordering catering.
- Ensure events reflect the values of Inclusion & Diversity (I&D) and Sustainability.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Marketing, or related field.
- 2+ years of experience in event planning or coordination.
- Strong organizational and project management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work under pressure and meet tight deadlines.
