Salary:  $65,000 - $68,000

Job Summary

Key Responsiblities:

  • Oversee AP and AR processes, ensuring accurate and timely financial activity
  • Ensure timely and accurate processing of invoices and payments, including escalations
  • Report financial impacts to Leadership and the Regional Controller
  • Collaborate with the Finance team to maintain accurate financial records
  • Perform sales analysis and prepare sales reports

Operations and Administrative Support:

  • Work alongside Operations Directors to communicate financial information
  • Manage office supplies, equipment, and office functions for smooth operations
  • Coordinate office activities and workflows for efficiency
  • Communicate customer service issues daily to office and operations teams

Order Management and System Expertise:

  • Process specialty orders including add-on, late, wrong-dated, deletions, and catering orders
  • Serve as Lightspeed expert, managing schedules, SKUs, menus, and order configurations

Customer Service and Sales Support:

  • Act as escalation point for AP, AR, and customer service issues
  • Visit client locations to understand service concerns and identify sales opportunities
  • Ensure high levels of customer satisfaction through communication and follow-up

Training & Team Leadership:

  • Train new hires and prepare them for their roles
  • Provide coaching and support to the office team
  • Support a collaborative and high-performing office environment

Other responsibilities:

  • Perform ad hoc projects as assigned
  • Ensure compliance with company policies and audit standards
  • Maintain confidentiality of financial and associate information

 

Qualifications:

  • High school diploma or GED required
  • 2–4 years of administrative, financial, or office management experience preferred
  • Experience in AP/AR or accounting support roles highly preferred
  • Proficiency in MS Office Suite (Excel, Word, Outlook)
  • Experience with Lightspeed, SAP, or other financial/operational systems preferred
  • Strong communication, organizational, and customer service skills
  • Ability to manage deadlines in a fast-paced, multi-tasking environment
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and with cross-functional teams
