Job Summary
Summary: The Premium Administrative Assistant manages the staffing and clerical operations of the Premium Department. You will be responsible for scheduling of work, supporting the hiring process, payroll management, and preparing day-to-day reports. The admin works hand in hand with the Premium management team to identify the department’s staffing needs. The ideal candidate would have experience in hiring and onboarding as well as other human resources procedures. The goal is to ensure that the company’s staffing requirements are always met and employees work in a friendly, supportive environment. The role also is responsible for clerical functions and administrative support for the Premium Management team.
Essential Duties and Responsibilities:
- Assist the HR department with hiring, training, & onboarding team members
- Work effectively and maintain good working relationships with co-workers
- Maintain clean and safe work environment
- Work with spreadsheets and payroll programs to maintain pertinent ongoing staff information
- Mathematical skills to verify payroll accuracy
- Detail-oriented and the ability to maintain both a digital and a paper filing system
- Adhere to strict guidelines and deadlines
- Prepare and distribute weekly schedule for up to 200+ team members
- Responsible for staffing, including finding staff when employees call out or staff needed on short notice
- Working with temporary staffing vendors to fill vacancies
- Ensuring that all staffing decisions comply with Collective Bargaining Agreement and Levy’s policies and standards
- Determine staffing shortfall and report position vacancies to the premium management team and Human Resources
- Confirm staff details and working hours to ensure accurate employee compensation
- Maintain confidential files
- Assist management in preparing confidential employment and labor relations documents, including but not limited to proposed disciplinary notices
- Input payroll and scheduling data by their individual deadlines
- Excellent communicator, able to foster relationships with team members and the management team
- Oversees the nonevent and event day check in of team members and location assignments
- Assist in preparation financial reports
- Attend meetings as required
- Ability to teach others as well as delegate tasks
- Ensures the compliance of all staffing procedures with the company policies and legal standards
- Organizational skills; detail-oriented, ability to work accurately, efficiently, and courteously in a high pressure environment.
- Performs other duties as assigned
Job Requirements:
- 2 years of experience in a similar role
- Knowledgeable about relevant employment laws and regulations
- Efficient in handling and managing people and resources
- Proficient in MS Office; specifically, Excel
- Strong communication and interpersonal skills
- Knowledge of staffing policies, procedures, & best practices
- Highly-organized
- Attention to detail
- Reliable
- Critical thinker with problem-solving mind
- Ability to work independently and part of a team
