Job Summary



Summary:  The Group Sales Admin Supervisor of the Group Sales Team at Kaseya Center oversees all planning and communication of private catering events, ensuring full support for internal and external customers.
Essential Duties and Responsibilities:

  • Operational:

    • Coordinating event logistics with Client and communicating with the building to ensure all setup needs are met (Event Worksheets).
    • Staffing estimates and scheduling of required Arena event staff.
    • Vendor management and on-site coordination, including load in and load out
    • Post-Event Settlements with Finance

     

    Team Responsibilities:

    • Maintain a positive attitude and a culture of YES
    • Foster strong relationships with teammates and building staff, ensuring collaboration and support.
    • Be innovative and share your ideas to improve the team.

     

    System Compliance:

    • Maintain a high level of excellence and accountability for Levy and on-site procedures
    • Ask questions when you need information
    • COI and Vendor Paperwork on file.
    • Updating BEOs in Reserve

     

    Internal and External Customer Service & Experience:

    • Ensure the highest levels of customer service for employees, vendors and internal or external clients you are in contact with.
    • Address customer complaints, vendor issues or other situations promptly and effectively.
    • Elevate all interactions with personalized attention.

     

    Compliance & Safety:

    • Ensure beverage consumption sheet compliance
    • Ensure you comply with regulations regarding required certifications and OSHA guidelines (non-slip shoes, etc.)
    • Maintain the security of your ID badge and keys

     

    Qualifications:

    Experience: Minimum of 1 year experience in hospitality, event service, planning or coordination.

    Education: Bachelor's degree in event management, hospitality, marketing, or a related field preferred

     

    Skills:

    Strong organizational skills and attention to detail.

    Ability to work well under pressure and manage multiple tasks.

    Excellent communication and interpersonal skills and the ability to work independently and as part of a team.

    Proficiency in Word, Excel and CRM software preferred.

    Problem-solving abilities and sense of urgency.

    Personal Traits: Kind, courteous and accountable for individual performance. Flexible schedule and availability to work evenings, weekends and holidays.
