Job Summary
The Conference Service Assistant will ensure that all meeting rooms and public conference areas are maintained to the highest level of professional appearance. The Conference Services Assistant will collaborate with the Catering Sales Manager and General Manager to ensure that all meeting requirements are met prior to the meeting start time. They will need to work well individually and as part of a team. They need to be self reliant and will have all conference rooms set according to Banquet Event Orders. They will be required to keep accurate schedules, records of their work, and track projects following department procedures.
Job Duties
Guest & Space Experience
· Greet all guests with warmth and professionalism, ensuring friendly, attentive, and service-focused interactions.
· Maintain a polished, organized, and inviting reception and amenity area.
· Provide knowledgeable guidance on on-site amenities, services, building procedures, and key points of contact.
Room Setup, Catering Support & Space Readiness
· Assist with meeting room setup and breakdown, arranging furniture and staging materials according to required layouts.
· Support catering setup and breakdown, ensuring timely delivery, professional presentation, and smooth service flow.
· Maintain the cleanliness and readiness of all meeting and conference spaces throughout the day, resetting rooms as needed to support back-to-back events.
Food Service Support
· Assist with daily food service operations, replenishing, and refreshing food and beverage areas.
· Ensure all food service stations remain clean, organized, and aligned with hospitality and sanitation standards.
· Monitor guest flow and proactively address food service needs to maintain a seamless, high-quality experience.
Operational Support & Administration
· Conduct opening and closing walkthroughs of amenity and conference spaces, documenting findings and communicating issues promptly.
· Monitor overall space maintenance and report repair needs to minimize operational disruptions.
· Uphold all security, fire, health, and safety procedures to protect guests, staff, and property.
General Expectations
· Demonstrate flexibility to support business demands, including occasional early mornings, evenings, or schedule adjustments.
· Maintain a positive, team-oriented attitude and represent the organization with professionalism at all times.
Job Skills
· Demonstrates ability to interact with customers in a professional and pleasant manner
· Able to work independently and within a team structure.
· Excellent organizational, and time management skills with the ability to prioritize tasks.
· Excellent written and oral communication skills
· Demonstrates ability to carry out responsibilities with little supervision.
· Ability to prioritize and handle multiple tasks simultaneously.
· Has ability to lift 50lbs. and stand for long periods of time
· Is detail oriented and displays a commitment to quality work while keeping in mind customer expectations and timelines.
· Possesses a professional business demeanor.
