Job Summary

The Workplace Experience Supervisor will be efficient, professional, and consistently deliver white glove service to all guests and employees. Located on the reception floor and in all public areas, the Ambassador serves as the primary point of contact, ensuring visitors feel comfortable, are directed to their appointments and meetings, and receive assistance throughout their visit. Service delivery includes warmly greeting all arriving guests, providing a fond farewell, professionally and accurately executing event requests, providing local information or directions, and maintaining proficiency in reservation tools and processes. The Ambassador will also be knowledgeable about VIPs, catering offerings, and the day's events.


Job Responsibilities:
First point of contact for front desk support and conduct all front desk responsibilities
Warmly greet all arriving guests and provide a fond farewell, ensuring a positive experience.
Provide high-level internal and external customer support, greeting clients upon reception and directing them to scheduled meeting rooms.
Assist with "Meet and Greet" service for high-profile guests and clients when needed.
Conduct thorough opening and/or closing walkthroughs, capturing essential details and communicating pertinent updates to enhance operational efficiency.
Speak knowledgeably about the office, building, surrounding areas, transportation, local restaurants, and other points of interest.
Manage and coordinate executive and departmental programs to execute successful meetings and conferences.
Oversee conference reservations, cancellations, no-shows, and holding requests through the client scheduling software.
Be knowledgeable about all event spaces and event procedures.
Handle phone reception for client inquiries regarding changes or conflicts with specific requests, demonstrating professionalism in adjusting or improving reservation details.
Schedule and participate in event walkthroughs with clients and hosts.
Prepare event floorplans upon request.
Facilitate weekly coordination meetings and reports with contacts from facilities, audio-visual, and security teams, ensuring clear communication of event details across appropriate business lines.
Demonstrate agility and foresight in resolving booking conflicts, offering proactive solutions, and engaging with managerial support when necessary to ensure seamless event coordination.
Conduct daily walkthroughs prior to scheduled meetings to confirm Audio/Visual equipment, catering, and room setup are successfully arranged and attained.
Serve as the primary liaison with audio-visual services, catering services, room setup teams, and any outside vendors on event-related matters.
Assist in shipping and receiving duties as necessary Offer invaluable administrative support, contributing to the seamless functioning of the establishment.
Assists with the training of new hires, as well as the ongoing training of current staff, to ensure a consistent high level of professionalism among team members 
Support payroll, scheduling, HR escalations and other internal administrative functions.
Update Standard Operating Procedures (SOPs) and other Conference Center documents when required.
Embrace additional responsibilities with enthusiasm and dedication, demonstrating unwavering commitment to our shared mission of hospitality excellence.
Flexible to work early mornings, nights, and weekends upon request, depending on operational needs.

Shows expert client relationship management, influencing, presentation, listening, and communication skills (written and verbal).
The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with clients and visitors.
Advanced computer skills and knowledge of office technology/equipment, including Microsoft Suite.
Punctual, dependable, and dedicated to achieving operational excellence, down to the smallest of details.
Discreet, ethical, and committed to maintaining a high degree of confidentiality.
A consistent professional approach, with a mindset to take ownership and responsibility within and outside one’s job domain.
At least 2 years of experience supporting meetings and events.
