In this role, you will be a key connection point between clients, assistants, culinary teams, conference services, and hospitality leadership. You will have the opportunity to support executive meetings, client events, conference catering, and day-to-day catering operations while bringing strong follow-through, clear communication, and a hospitality-first mindset to every interaction.
Essential Duties and Responsibilities:
- Serve as a professional, responsive point of contact for employees, executives, assistants, meeting planners, and business stakeholders.
- Build strong relationships with frequent users of catering services and understand their preferences, service expectations, and event needs.
- Manage catering requests from intake through execution, including order details, changes, cancellations, dietary needs, and special requests.
- Coordinate across culinary, conference services, reception, front-of-house, and hospitality teams to support smooth meeting and event execution.
- Own catering documentation, production reports, function sheets, system updates, and food labels with strong attention to accuracy.
- Partner with culinary teams to validate menu information, dietary requirements, allergens, and food safety expectations.
- Provide onsite support for high-profile or complex events and escalate concerns proactively when needed.
- Act as a lead resource for catering associates and hospitality team members, reinforcing service standards, teamwork, and accountability.
- Support billing, invoicing, reporting, reconciliation, and process improvements that enhance the client experience.
What Success Looks like:
- Clients feel supported, confident, and well cared for throughout the catering and event planning process.
- Meetings and events are executed smoothly, with accurate details, clear communication, and polished service delivery.
- The catering and hospitality teams view you as a reliable partner who helps keep daily operations organized and moving forward.
- You identify opportunities to improve processes, strengthen service standards, and enhance the overall client experience.
Qualifications:
- 2–4 years of experience in catering, hospitality, conference services, workplace experience, hotel operations, event management, corporate dining, or a related customer-facing environment, including at least 1 year of experience providing day-to-day leadership, training, or supervision within a hospitality operation.
- Experience supporting executive meetings, client-facing events, high-touch service environments, or high-volume catering operations.
- Strong organizational, communication, and follow-through skills, with the ability to manage multiple requests accurately and professionally.
- Proficiency with Microsoft Outlook, Teams, Excel, PowerPoint, and hospitality or event management systems; knowledge of food safety, allergen management, food labeling, or HACCP standards is preferred.
