Job Summary

Scheduling & Labor Optimization Coordinator Job Summary: The Scheduling & Labor Optimization Coordinator supports both the operations department, human resources operations, and labor management efforts to ensure effective scheduling, compliance, and workforce efficiency. This role works closely with HR leadership, department managers, and operations teams to assist with recruiting, onboarding, labor forecasting, and shift optimization, while also supporting day-to-day HR administrative functions.

Key Responsibilities:

  • Assist in creating, managing, and adjusting labor schedules in alignment with event demands and forecasted business volumes.
  • Ensures proper staffing levels and locations are set and ready for business prior to doors on events days and adjusting to the business during events as needed.
  • Support labor cost tracking and ensure alignment with department labor budgets.
  • Monitor and audit timesheets and punch data to ensure accurate payroll processing.
  • Maintain staffing level reports and help identify scheduling gaps or overtime risks.
  • Help with labor-related compliance initiatives, including break compliance and working hour limits.
  • Collaborate with department leaders to optimize shift assignments and maximize productivity.
  • Maintain staffing tracker and assist with post-event labor reviews and reporting.
  • Assists with staff check-in before the event.
  • Participates in general office duties: meetings, cleaning, filing and other similar administrative activities.
  • Promotes a cooperative work climate, maximizing productivity and morale.
  • Conducts regular scheduled meetings to ensure lines of communication are open between management and team members.
  • Displays a positive attitude towards team members.
  • Assist with the onboarding process for new hires, including orientation scheduling, document collection, and system entry.
  • Maintain employee records and ensure proper documentation is filed and compliant with company policies.
  • Serve as a point of contact for employee questions about policies, timekeeping, benefits, and schedules. Assist in planning and executing team engagement activities and recognition programs.
  • Other duties that may be assigned

Qualifications:

  • 1 year or more experience in foodservice or hospitality
  • 1 year or more of administrative and/or scheduling experience 
  • An outgoing personality is preferred. The candidate should have the ability to interact with high profile guests and remain professional and dedicated to providing exceptional experience.
  • The ability to communicate effectively by speaking and comprehending English, with the ability to problem solve and make decisions with little guidance.
  • Bilingual (English/Spanish) preferred.
  • Experience working with union labor
