Compensation: $95,000 – $115,000 annually (commensurate with experience)

About the Role

We’re currently seeking a highly capable and experienced Executive Assistant to support a dynamic, high-performing Division President leading a $750M+ business unit on the West Coast.

This critical role is ideal for someone who is exceptionally organized, tech-savvy, and confident in navigating executive priorities independently. You’ll be the go-to person behind the scenes helping to execute a bold operating plan within a historically traditional industry undergoing transformative change. This is more than just a support role, it's a chance to shape the impact of a division that influences thousands of employees and customers nationwide.

What You'll Do

• Executive Administration: Manage calendar scheduling, coordinate complex travel logistics, and prepare and reconcile expense reports.

• Communication Management: Serve as a primary point of contact and gatekeeper, demonstrating a high degree of integrity and professionalism. Navigate executive-level communications with finesse and confidentiality while keeping the business running smoothly.

• Meeting & Event Logistics: Plan and execute meetings, leadership offsites, and key engagements—ensuring all logistics are handled end-to-end.

• Project Assistance: Support key executive initiatives with light-touch administrative research, reporting, and presentation development.

Is This You?

• Experienced: 7+ years in senior-level executive support roles, preferably in Fortune 500 or similarly complex environments.

• Technically Skilled: Fluent in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams. Proficient in tools like Concur or other travel/expense platforms. Able to quickly adopt third-party applications such as Monday.com, Calendly, and others.

• Resourceful & Self-Directed: Proactive and confident in making decisions, solving problems independently, and anticipating executive needs.

• Detail-Oriented & Dependable: A master of logistics with exceptional follow-through and commitment to accuracy and excellence.

• Professional & Composed: Calm, polished, and trustworthy; a discreet presence who builds confidence with those around them.

• Excellent Communicator: Strong written and verbal communication skills across all levels of an organization.

• Adaptable: Comfortable navigating change in a legacy industry undergoing cultural and structural evolution.
