Job Summary

The Leave of Absence Coordinator plays a critical role in supporting Compass Group USA’s workforce by managing and administering employee leave programs, including Family Medical Leave (FMLA) and other state-specific leave policies. This position serves as a key point of contact for associates and managers, ensuring compliance with federal and state regulations while delivering exceptional service through timely communication, accurate documentation, and effective case management. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced environment with frequent interruptions and competing priorities.

 

Responsibilities:

  • Knowledge of regulations related to company policies, with the ability to review and assess how these policies function individually or in conjunction with one another.
  • Assist managers and administrate Family Medical Leaves, and all applicable support functions.
  • Ability to manage high volume, inbound calls, multiple tasks, multiple priorities, with frequent interruptions.
  • Capture information from inbound calls, leveraging applicable CRM system.  Update Absence Tracker/other leave databases as applicable.
  • Research and resolve discrepancies between associates and leave requests.
  • Reviews file notes and explain leave process to associates and managers
  • Compiles employee data and submits information regarding any state leave.
  • Completes associated leave tasks, such as managing helix cases, moving documents to the appropriate leave case within the Absence Tracker system and email scans.
  • Communicate via phone, helix case and Absence Tracker for leave updates and changes.

 

Qualifications:

  • Bachelor’s degree or 3+ years of experience supporting leave of absence inquiries.
  • Working knowledge of state and federal regulatory requirements related to leave of absence, including Family Medical Leave Act (FMLA) and any state regulations.
  • Strong phone and verbal communication skills along with active listening.
  • Excellent organizational skills
  • Detail-oriented, with strong analytical, problem-solving, organizational and follow-up abilities; skilled at managing multiple priorities in fast-paced settings.
  • Ability to work well in a fast-paced, stressful, dynamic environment. 
  • Ability to successfully multitask & be organized  
  • Must have a minimum of 3 years' support in a customer support capacity.
  • Must have working knowledge of all applicable Microsoft Office systems, such as Excel, Word, Teams, Office 365
  • Experience with STD and ADA a plus.
