Job Summary:
We’re currently looking for an executive assistant to be a supportive force for senior leadership. Reporting directly to the COO, the Sr. Executive Administrative Assistant will ensure smooth operations and support the COO. This role also serves as a liaison to the CLT executive team. This role requires exceptional discretion, time management, and communication skills. The ideal individual will have the ability to exercise good judgment in across situations, with strong written and verbal communication, administrative, and organizational skills. They will demonstrate the ability to maintain a realistic balance among multiple priorities and adapt easily to change.
Responsibilities:
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
- Manage complex calendars, schedule meetings, and resolve conflicts.
- Arrange domestic and international travel, including itineraries and accommodations.
- Act as the primary point of contact between executives and internal/external stakeholders.
- Draft, proofread, and edit correspondence, reports, and presentations.
- Prepare agendas, materials, and minutes for high-level meetings.
- Coordinate logistics for board meetings and executive events.
- Maintain confidential files and records.
- Ensure accuracy and compliance in documentation.
- Process expense reports and assist with budget tracking.
- Support strategic initiatives and cross-functional projects as needed.
Qualifications:
- 5+ years of related experience required in working in an executive assistant role supporting senior executives.
- Advanced proficiency in Microsoft Office and scheduling tools.
- Ability to communicate effectively and professionally.
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Strong organizational, problem-solving, and interpersonal skills.
- Ability to handle sensitive information with discretion.
- Bachelor’s degree preferred
