Job Summary

The Operations Scheduling Manager is responsible and accountable for the coordination of information and support needed to ensure smooth operations in the Eventions department, including staffing for all events, maintaining a scheduling matrix, and being a critical part of the daily operations. 
Eventions provides an extensive range of services to every level of guest on this account. KEY RESPONSIBILITIES:

  • Responsible for complete scheduling cycle; including creating forecasts, preliminary, and final schedules. 
  • Work with front of house and back of house managers to ensure all events are staffed in accordance with staffing guidelines as outlined in the current Collective Bargaining Agreement (CBA).
  • Utilize online staffing program to manage schedules for 300+ team members.
  • Utilize voice messaging service to track phone calls with large groups of staff
  • Attend BEO meetings with the Catering and Event Planning Departments to identify and/or clarify staffing concerns such as function types or other issues that directly impact the schedule.
  • Full working knowledge of CBA as it pertains to Eventions.
  • Work with Eventions leadership to review and approve weekly payroll timecards, making edits as needed with backup documentation.
  • Work with HR to have active involvement in the union grievance process as they pertain to staffing and scheduling as needed. 
  • Understanding basic concepts and operations of events.
  • Assist with the daily administrative tasks of the department including but not limited to daily labor reports, and month end close reporting.

 

ADDITIONAL RESPONSIBILITIES:

  • Provide consistent support and prompt responses to each department for all related scheduling issues.
  • Track and administer attendance-related incidents for management to administer
  • Facilitate training courses for all managers to provide them with a broader understanding of the process to enable them to fill callouts when necessary.
  • Ensure team members adhere to Compass Group company guidelines as stated in the team member training manual and employee handbook.
  • Support events as needed.

PREFERRED QUALIFICATIONS:

  • Minimum of two years’ experience in a hotel or food and beverage scheduling environment preferred.
  • High school diploma or equivalent required
  • Able to communicate effectively with management team and union team members.
  • English reading, writing, math and computer skills required.
  • Must be flexible with schedule and able to work different shifts including nights and weekends if needed.
  • Ability to manage multiple methods of communication simultaneously.
  • Ability to learn and successfully operate multiple software programs required for sending schedules, collecting data, exporting event orders and scheduling team members on a weekly basis.
  • Ability to manage a daily timeline of responsibilities, completing all tasks efficiently with minimal supervision.
  • Understanding of the concepts and operations of special event planning and execution.
  • Experience preferred with OMS, MyStaff.
  • Proficiency with Microsoft Office software. Primarily Microsoft Excel.
  • Exceptional attention to detail and strong organizational skills are a must.
