Job Summary

At Wolfgang Puck Catering, we believe every event is an opportunity to create an exceptional experience. As a Catering Coordinator at our 525 Market, San Francisco location, you’ll play a central role in bringing events to life—from early planning through execution.
 
In this role, you’ll collaborate closely with catering and restaurant teams to coordinate logistics, support event operations, and help deliver seamless conference catering and off-site experiences. This is a highly hands-on position with exposure to sales, operations, marketing, and client engagement—ideal for someone who enjoys working across teams and seeing their work come together in real time.
 
Key Responsibilities
  • Coordinate and maintain event data, including inquiries, tentative holds, and confirmed bookings
  • Prepare detailed event materials such as function sheets, captain packets, signage, and buffet menus
  • Support site visits, client tastings, and on-site event coordination to ensure smooth execution
  • Organize and manage comprehensive event files (contracts, orders, invoices, and related documents)
  • Assist with administrative processes including COI requests, deposit tracking, invoicing, and reporting
  • Contribute to event proposals, staffing plans, and preparation for upcoming events
  • Partner with marketing and sales teams to help promote events and support outreach efforts
  • Research and source vendors to support event needs and enhance client offerings
  • Facilitate clear communication across teams to ensure alignment and readiness for each event
  • Coordinate schedules, meetings, and travel arrangements for the catering team
  • Build positive relationships with clients by providing timely, thoughtful communication throughout the event lifecycle
  • Provide additional support as needed to ensure team success and exceptional guest experiences

What We’re Looking For

We’re looking for someone who is organized, adaptable, and excited about working in a fast-paced, team-oriented environment.
  • Experience in catering, events, hospitality operations, or a related environment (restaurants, hotels, or venues)
  • Strong organizational skills with the ability to manage multiple priorities and details simultaneously
  • Clear and professional communication skills, with a client-focused approach
  • Comfort working with Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with event or reservation systems is a plus
  • Ability to work a flexible schedule, including occasional evenings, based on event needs
  • Familiarity with event planning processes, catering operations, or client services
