Job Summary
The CMMS Assistant Manager supports Facilities Operations by overseeing the administration, performance, and continuous improvement of the Computerized Maintenance Management System (CMMS). This role ensures effective work order management, data integrity, reporting accuracy, and user support to drive operational efficiency across campus.
Key Responsibilities
CMMS Administration
- Manage system configuration, user access, and data integrity within the CMMS
- Maintain asset records, preventive maintenance schedules, and service histories
- Troubleshoot system issues and coordinate system enhancements
Work Order & Workflow Management
- Oversee intake, triage, and routing of work requests in alignment with SOPs
- Monitor work order progress, backlog, and completion performance
- Identify workflow gaps and implement process improvements
Reporting & Analytics
- Develop and maintain reports and dashboards to track operational KPIs
- Analyze trends to support decision-making and service improvements
- Utilize Excel tools (filters, pivot tables, formulas) for reporting and analysis
User Support & Training
- Serve as primary support for CMMS users across campus
- Provide training on system use, workflows, and maintenance processes
- Manage permissions and ensure consistent system use
Program Oversight
- Support maintenance policies, procedures, and compliance initiatives
- Conduct periodic reviews of maintenance programs to ensure effectiveness
- Collaborate with shops and leadership to improve service delivery
Qualifications
Required
- Experience with CMMS or large-scale database systems
- Strong data management and Excel skills
- Experience supporting facilities or maintenance operations
Preferred
- Supervisory or lead experience
- Familiarity with SQL or database tools
- Knowledge of preventive maintenance programs and asset management
